Plain English, because that's how we keep books too. Last updated September 15, 2026.
Enquiry details. When you send the consultation form we receive your name, company, email, platform and rough document volume. The form is delivered by Web3Forms, a form-delivery processor that forwards the submission to our inbox; we don't run analytics trackers or advertising pixels on this site.
Your books and documents. If you become a client, your documents are filed in a dedicated, access-controlled archive that SortKai sets up and maintains for your engagement — you send documents in from our mobile app or by email, every action the agent takes there is logged, each document is attached to its transaction in your accounting platform, and the complete archive is handed over to you if the engagement ends. In your accounting platform — QuickBooks, Xero or another — we work as a named bookkeeper user under your admin, or, if you choose, under a SortKai-managed subscription that transfers into your name whenever you ask; either way every entry is attributed and platform access is yours to revoke, in about a minute, any time.
We don't sell or rent your information. We don't use your documents or your ledger to train any AI model. We don't move your books into a platform we own unless you ask us to manage a subscription for you — and then it transfers into your name whenever you ask.
Three places, all in your control or under contract: the document archive for your engagement, your accounting platform, and our correspondence with you. Service providers we rely on (form delivery, email) receive only what they need to deliver the message. We serve clients worldwide and honor data-protection rights — access, correction, deletion — wherever you are, GDPR included.
Enquiry emails are kept while we correspond and deleted on request. Client records are kept for the length of the engagement plus the record-keeping period your jurisdiction requires of businesses; when you leave, your ledger access and the complete document archive are handed over to you.
